From uploading a recording to a verified result

This walkthrough explains how to obtain a first result in the built-in Thesis web interface: upload a recording, check the transcript and summary, use the Assistant, and save the outcomes.

Before starting

Signing in requires the site’s address and a personal account provided by the staff member responsible for the site. For an initial walkthrough, use a short practice recording approved for processing that contains no personal, customer, or confidential information.

If uploading is unavailable, a prepared practice recording can be obtained from the responsible staff member. The availability of a separate client application and its compatibility with the site must be confirmed before use.

Starting with documents

A meeting recording is not required to search documents. Upload approved materials to a folder, wait until they are ready for search, and ask the Assistant a question about the selected sources. Check the answer against the original documents. Scans require configured text recognition.

1. Adding a recording

The conversation in One meeting: from conversation to outcome can be used to create a practice recording. It contains a decision, an action item, and an unanswered question.

To add material, open the recordings section, select file upload, enter a descriptive name, and start processing if the account has the required permission.

Interface labels and available actions may differ between versions. Supported file sizes and formats must be confirmed for the specific site.

2. Waiting for the result

The recording’s details page shows its processing status. Processing time depends on the recording and the site’s settings. The transcript and summary must be ready before proceeding: a completed upload does not mean that processing is complete.

3. Checking the transcript

Passages containing names, numbers, decisions, and dates must be checked against the recording. Users with the required permissions can correct errors and save their changes.

If AI suggestions are available, check each change against the recording. Accept suitable suggestions, then save the corrected transcript. Accepting suggestions does not, by itself, save a new version.

4. Checking the summary

The summary must reflect the conversation without adding decisions that were not agreed. After substantial changes to the transcript, the summary must be generated again using the available method and reviewed: it does not update automatically.

5. Asking the Assistant

To ask a question, select the practice recording as a source, check the “Assistant is reading” list, remove unrelated materials, and check the conversation’s audience. To use a different set of sources, start a separate conversation.

Example question: “What next steps were discussed?”

The answer is checked against the source material. If there is not enough information, the question needs to be clarified or referred to the participants.

6. Saving the outcome

With the required permission, a verified transcript or summary can be exported to a file, such as Word (DOCX) or PDF. Before sharing it, check the file’s contents, the recipients, and whether distribution is permitted.

Where Assistant file creation is available, you can request a Word document or Excel spreadsheet based on the selected materials. After reviewing it, download the file or save it to personal documents; check the audience as well before saving it to a workspace.

First result: a transcript, a reviewed summary, and a saved outcome. The following steps cover collaborative work and require the corresponding features and permissions.

7. Working in a workspace

  1. Select a practice workspace and check its members.
  2. Add the practice recording and confirm the audience.
  3. Open the meeting’s decisions, action items, and questions, and check them against the conversation.
  4. Assign an agreed person and due date to the practice action item.

Result: the recording is stored alongside related materials, and the action item has an assigned owner. If there are no practice participants, viewing the materials is sufficient.

8. Preparing meeting minutes

A draft is created from a verified version of the summary. Before proceeding, the text must be reviewed and any missing information clarified. Saving a draft is sufficient for an initial walkthrough.

To share the document with participants, approve it, select a workspace, and check the audience. Publishing the minutes is a separate action that requires the appropriate permissions; it does not grant access to the source audio.

9. Preparing for the next meeting

The Assistant can be asked about the selected materials: “What remains to be discussed at the next meeting?” In the practice example, the question of who will lead the demonstration remains open. The reviewed answer provides a starting point for the agenda; participants make the final decision.

If an error occurs

When contacting the staff member responsible for the site, provide the time, the action performed, and the error message. Do not include passwords, tokens, or the contents of private meetings. An inaccurate result must be reviewed and corrected before it can be used as agreed meeting minutes.
